What we collect, why we collect it, and who else sees it.

Effective date: October 5, 2026

Who we are

The site charlottetravelbaseball.com goes by the name Charlotte Travel Baseball (CLTB). It is run by WeBe23, Inc.

This page explains what we collect, why we collect it, and who else sees it.

The short version

  • You can browse the directory, run the fit guide and use the tools for free.
  • We set two cookies. One keeps you signed in. The other remembers which prices we showed you.
  • Payments go through Stripe. You type your card number on Stripe's page, not ours.
  • The site has no advertising cookies, analytics tools or tracking pixels.
  • We do not sell your personal information, and we do not give it to clubs. There are two exceptions, listed under "Who else handles your information" below.

What we collect

When you visit

  • A price-test cookie on pages that show prices: pricing, your account, fit-guide results, the Tryout Pass sale page and team pages. More on this under "Price tests" below.
  • Your IP address, and your account ID if you are signed in, when you send a form or use some tools. We use them to stop spam. They go into short-lived counters that limit how often one address or one account can send.
  • Your browser type, only to skip counting bots in our price tests. We do not save it.

When you make an account

You can sign up with an email and password, or with Google.

  • With email and password, your password goes straight to Firebase, Google's sign-in service. Our own server never sees it.
  • With Google, Google shares your name and email address with us.

Your account record holds:

  • your email address and name (if we have one)
  • whether your email address is confirmed, which sets your reviewer badge
  • the proof behind a higher reviewer badge, if our team approved one
  • the clubs you have claimed
  • the teams you saved to compare
  • your fit-guide ratings, if you choose to save them. These are ten 1-to-5 ratings about what you want in a team. They are not about your child.
  • your email settings
  • your membership and pass status, and your Stripe customer number
  • your price-test ID
  • the date you joined and the date your record last changed

When you pay

You enter your card on Stripe's checkout page. We only accept cards.

We send Stripe your email address, your account ID, the plan you picked, your price-test ID and your price group.

Stripe sends back your Stripe customer number, your membership status and renewal date, the amount you paid and the email used at checkout.

For a pass, we keep when you bought it, when it ends and whether you used it.

When you post or send us something

  • Reviews. We keep your ratings, what you wrote, your name, your account ID and your reviewer badge level. On the review page, we show your first name and last initial unless you choose to show your full name.
  • Cost and fit surveys. We save your answers without your name or account ID. A fit survey also saves the name of the team's head coach. Cost surveys and the Share form keep anything you write about surprise costs. The site does not show fit-survey comments today. The Share form saves your account ID with your answers if you are signed in. If your club isn't listed, it also saves the club name, age group and city you type.
  • Reviewer badge requests. We keep the link or note you send as proof. Our team reviews it.
  • Club and coach claims, and certifications. We keep what you send to prove the listing is yours, plus your account ID. We email club claims to our own team inbox.
  • The AI box on the home page. You must be signed in to use it. Your question goes to Anthropic, our AI provider, to write an answer. We do not save your question.
  • The AI listing writer for club owners. The notes you type go to Anthropic to draft your listing.

Tools that stay on your device

  • Big-Field Readiness asks for your child's birth date, height, weight and wingspan. The math runs in your browser. We do not receive those answers.
  • Time Commitment also runs in your browser.

Cookies and browser storage

  • admin-session (cookie). A sign-in code from Firebase. It keeps you signed in. Everyone who signs in gets it, not just our team. It lasts 5 days.
  • cltb_vid (cookie). A random ID. No name, no email. It remembers the prices we showed you. It lasts about a year.
  • savedTeams (browser storage). The teams on your compare list. It lets the Compare page work on this device. It stays until you clear it.
  • cltb-fit-results-pass-timer (browser storage). The time a 15-minute offer timer started. It runs the countdown on fit-guide results. It stays until you close the tab.

Firebase, Google's sign-in service, also saves your sign-in in your browser's storage, so you stay signed in between visits.

Both cookies can only be read by our server, not by scripts on the page.

Price tests

We test prices, so two visitors can be shown different prices for the same membership or pass. We remember the prices we showed you on this device, and on your account once you sign in. Checkout charges the price you were shown.

To remember your prices, we set a cookie named cltb_vid. It holds a random ID and nothing else: no name, no email. It lasts about a year. We use it to show you the same prices on each visit and to count, by price, how many visitors see each price and buy. When you sign in, we save the ID to your account. When you check out, the ID and your price group are sent with your order to Stripe, our payment processor.

A few more details:

  • If you sign in on a new device, we switch that browser to your account's ID. We note the old ID with your account so we don't count you twice.
  • While a price test is running and checkout is switched on, we record when someone sees a price, starts checkout, buys or cancels. We skip obvious bots. We also record refunds and payment disputes. Each record holds IDs, the price group, the plan and the amounts. It does not hold your email.
  • If you clear your cookies, you get a new random ID and may see different prices. Signing in again brings back your account's prices.

Who else handles your information

  • Google (Firebase) hosts the site, stores our database and runs sign-in, including password-reset emails. When you sign in, your browser talks to Google directly, so Google sees your IP address on those calls.
  • Stripe takes payments and runs the Manage subscription page.
  • Anthropic writes answers for the AI box and drafts club listings.
  • Resend and MailerLite are the services that send our emails, so they get the address each email goes to. Resend sends our account emails: a welcome email the first time you sign in, a receipt when you buy a pass, and emails about club claims.
  • Our own team reads club and coach claims, reviewer badge proof and certification proof, so we can approve or turn them down.

We do not sell your personal information, and we do not give it to clubs. There are two exceptions. We share information when the law requires it. And if the company is sold or acquired, your information goes with the company.

What other people can see

  • Reviews are public. See "Reviews" above for the name we show.
  • Club listings are public, including the contact email and phone number on the club's page. Listing details can come from public sources, such as the club's own website and tournament sites. A club can ask us to remove a fact by writing to hello@charlottetravelbaseball.com.
  • Coach profiles are public. They show what the coach or our team entered, such as name, photo and coaching background.

How long we keep it

  • Your account: we keep it until you ask us to delete it. We delete it within 30 days of your request.
  • Price-test records: we keep them. They hold random visitor IDs and account IDs, never email addresses.
  • Spam counters that hold IP addresses: each counter covers a time window of one minute to one day. It expires about a minute after its window ends, and Google's automatic clean-up then deletes it.
  • Server logs: our server keeps logs. When an email can't be sent, the log notes the address it was for. While our site email is switched off, that means the address on every welcome email, pass receipt and club-claim email. Google keeps these logs for 30 days, then deletes them.

Your choices

  • Change your saved teams, fit-guide ratings and email settings on your account page.
  • Show or hide your full name on a review.
  • Cancel a membership any time from your account with Manage subscription.
  • Clear this site's data in your browser settings (cookies and site storage) to sign out and to reset the price-test ID. See "Price tests" above.
  • Delete your account: email hello@charlottetravelbaseball.com and ask us to delete it. We delete it within 30 days of your request.

Children

This site is for parents and coaches. Accounts are for adults 18 and over. If we learn that a child made an account, we delete it.

Please don't type a child's full name into reviews, survey comments or the AI box.

Changes to this policy

When we change this policy, we post the new version on this page with a new date at the top. Once our site email is switched on, we will also email account holders about big changes.
